The Executive Assistant will provide high-level administrative support to the President of Barber-Scotia College and senior staff. 

Duties/Responsibilities:

  • Provides high-level administrative support and assistance to the President and/or other assigned leadership staff.
  • Performs clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodations for the President.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews their contents, determines their importance, and summarizes and/or distributes their contents to appropriate staff.
  • Performs office tasks, including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.

The Work Study Coordinator reports to the Director for Financial Aid however works closely with Human Resource for job placements.  The Work Study Coordinator’s primary duty will be to steward the College’s institutional Work Study program. This position will be responsible for ensuring students are eligible for Work Study based on their award, have submitted complete paperwork, and are employed in a safe and secure work environment. The Work Study Coordinator will work with student Work Study supervisors around campus and will support the work of the Office of Financial Aid (OFA).

The Human Resource Assistant will perform administrative tasks and services to support the effective and efficient operations of the organization’s human resource department.

Duties/Responsibilities:

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to collect and file all required documents appropriately.
  • Provides clerical support to the HR department.
  • May assist with payroll functions, including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Acts as a liaison between the organization and external benefits providers and vendors, including health, disability, and retirement plan providers.
  • Conducts or assists with new hire orientation.
  • Assists with planning and executing special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.

The Meeting and Event Planner will assess and conceptualize leadership’s needs and desires for various meetings, conferences, and events and make all arrangements necessary to execute leadership’s desired vision and goal.

Duties/Responsibilities:

  • Consult with leadership to assess and understand their needs for the event; areas of discussion and consultation include staffing, meeting rooms, conference rooms, ballrooms, hospitality suites, hotel rooms, catering, signage, programs, music, security, display areas, and other specialized requirements.
  • Compiles a list of prospective event locations; visits locations with leadership and guides the final selection.
  • Compiles price lists and negotiates contracts for services, dates, times, and spaces.
  • Consult with leadership and coordinate with staff to plan and develop event schedules, topics, and featured speakers.  
  • Ensures that events meet legal, safety, and health requirements and regulations; obtains necessary permits from fire and health departments.  
  • Coordinates transportation for guests, attendees, speakers, or other parties.
  • Coordinates registration process for event participants.
  • Manages all administrative duties and details associated with the event, including financial operations, distribution of promotional materials, and response to inquiries.
  • Develop and maintain current lists of available venues, services, and pricing options.
  • Maintains current knowledge of event planning standards and trends by attending seminars, consulting with other professionals, and reading trade publications.  
  • Performs other related duties as assigned.
